Reserving a Conference Room

Non-ECE Space

To reserve a university classroom or conference room other than TECH L440, please utilize 25 Live.

ELECTRICAL AND COMPUTER ENGINEERING (ECE) Conference Room (Tech L440)

The ECE Conference Room can be reserved by submitting a request through Outlook Calendar and selecting "ECE Conference Room" from the room drop-down list. If you have questions then please contact Nataliya Panchyshyn to reserve the conference room.

The room accommodates 20 people (with tables) or 40 (without tables). The multiple inter-connectable tables can be moved to form a large square, multiple group tables, or audience-style seating. The room has a built-in projector, large automatic screen, audience speakers, two white boards, and is technologically capable of recording video, web conferencing, and hosting a large amount of multi-media devices.

To reserve TECH L440, please be specific with your request, particularly with the following information:

  1. event date and time
  2. name of the event
  3. event contact name, email, and phone number
  4. estimated number of attendees, and
  5. audio/visual requests

You will receive a confirmation response from a staff member.

Policies

The following policies apply to all non-ECE meeting requests for TECH L440:

  • No recurring events
  • No day-long events
  • No reservations outside of regular office hours (8:30 am-5:00 pm, Monday through Friday) by those outside ECE due to access restrictions
  • Non-ECE faculty/staff may be asked to show proof of room reservation (the confirmation email and a valid photo ID will suffice)

Reserve a Lab

Wilkinson Lab Tech M338

Step 1: Check availability. One calendar is used for both labs because the two labs cannot be reserved concurrently.

Step 2: Email the Computing Facilities Committee to request the reservation. The labs are accessible with a valid Northwestern Wildcard.

Please Read the Wilkinson Lab Reservations Policy

The lab is to be reserved primarily for teaching purposes. Reservations for other purposes will be permitted only in special cases.

  1. All reservations will be made at first-come-first-served basis.
  2. The lab may be reserved by an instructor for a class for the duration of a quarter.
  3. One-time reservations can be made by instructors or teaching assistants. One-time reservations are limited to Thursdays and Fridays. Requests for such reservations must be made two weeks in advance to allow dissemination of the reservation information to other students.
  4. During any week, there will be at most four hours of reservations allowed.
  5. The two labs cannot be reserved at concurrent times.
  6. Reservations can be made for portions of the laboratory. For example, a request for a certain number of computers can be made.

Travel (Arrangement & Reimbursement)

Mileage Reimbursement

Effective January 1, 2020, the rate for mileage reimbursement increased to $.575 per mile. This rate is based on US Federal Government reimbursement rates. This reimbursement covers all fuel, maintenance, insurance, transportation, and operating costs. Fuel costs are included in the per-mile reimbursement rate and are not reimbursed separately for use of privately owned vehicles.

Car Rental

As per policy, use of rental car is allowed and will not be counted as part of per diem. You will however, need to submit separate receipts and an exception form for it. When renting a car, a business purpose needs to be provided. Also you will need to justify that the amount for renting a car was cheaper than the total combined transportation charge if cabs we used (as indicated in line 1 of the excerpt below). In most cases, acceptable reasons could be:

  1. The car was used to transport multiple people because it was a trip than involved more than one person.
  2. The place of destination or visit was a suburb thus the unavailability of cabs; rental car was needed.
  3. The car was used to transport equipment while on the field.

Excerpt of NU Car Rental Policy: (Page 10 of the travel policy)

Commercial rental vehicles should be used only when it is not possible to use the Motor Pool, as follows:

  1. Commercial rental vehicles should not be used if less expensive transportation is available.
  2. The University's designated vehicle rental agency should be used whenever possible (please make sure an economy class car is used, if not otherwise, state reason why).
  3. Discount car rental cards are no longer available.
  4. Economy, compact or subcompact vehicles should always be rented. Reimbursement will be made for other types of vehicles in exceptional cases (e.g., several travelers are riding in one car, equipment being transported, etc.)
